Qualtrics Access and Support Follow
Integrate your Qualtrics license with Fuel Cycle. Create an admin user with appropriate permissions which will authenticate with Qualtrics via our internal API.
It is crucial to generate the Qualtrics API Token only once and share it directly with your Fuel Cycle integration team. If the API Token is regenerated, notify Fuel Cycle immediately to prevent connection breakage. If the connection breaks, you will get a pop-up error message in Fuel Cycle that says "Invalid Survey".
Integrate Your Qualtrics License
- Make sure your Qualtrics account has API integration settings. To enable these, in Qualtrics go to Account settings → Qualtrics IDs.
- Verify that the Generate Token button is available in the API section. If this is not available, you will need to request it from Qualtrics support.
Qualtrics User Account Provision

Provision a user account within Qualtrics. This user will provide authentication for the integration. This means that any moderator who has access to the community admin tool will be able to log in to your Qualtrics account as this user (and of course inherit all permissions this user has). Creating a new user will allow you to grant access to only specific surveys/folders. Our system will be also using this user to authenticate with the Qualtrics API, which means this user must have all core permissions to operate with surveys (create, manage, edit, etc.).
- User Option 1 (preferred)—Please create a brand-new Fuel Cycle-specific admin user for integration. You need to make sure that this user account has all the required features and permissions enabled (listed below under REQUIRED FEATURES AND PERMISSIONS).
- User Option 2—Please provide FC with your Qualtrics user account credentials for the integration. You need to make sure that the user account has all the required features and permissions in place.
- User Option 3—If you can only access Qualtrics through your company’s SSO, please create a brand-new Fuel Cycle-specific admin user for integration. You need to ensure that this user account has all the required features and permissions enabled.
- The Fuel Cycle admin username and email address format should be fuelcycle@clientname.com.
- Provide Fuel Cycle with the username and password for this account so we can link it with the Fuel Cycle platform.
Create a New Qualtrics Admin User for Fuel Cycle
- Click on the 3 lines on the top-left of the Qualtrics page next to the logo → Click “Admin” → Click “Users” → Fill out user details (please refer to sample screenshot below):
- Username: fuelcycle@clientname.com
- First Name: Fuel
- Last Name: Cycle
- Email: fuelcycle@clientname.com
- User Type: Standard—Qualtrics (Note: This may differ based on the Qualtrics account. Use other “standard” user types available.)
- Account Status: Enabled
Required Features and Permissions
To have a fully functional integration:
- Make sure that all API permissions are enabled for the new user created. To locate these settings, go to Admin → Users
- Select a related user account in the list
- Search for the permissions listed below.
- Enable them.
Permission titles and availability will differ depending on the type of Qualtrics account you have access to.
Enable Permissions
- General Tab—Access API
- General Tab—Manage Mailing Lists
- Enable any permissions that have to do with ‘managing mailing lists’.
- General Tab—Manage Panel Samples
- Enable any permissions that have to do with ‘managing panel’.
- General Tab—Use Panels
- General Tab—Use Library Files
- General Tab—Library Saved Logic
- Contacts Tab—Access Contacts & Manage Directory
- Depending on your account type, there may not be a visible Contacts tab. If this is the case, you do not have to enable these.
- These settings allow our system to create a new contact list in the Qualtrics account. If the Qualtrics account allows multiple directories, it can be a separate directory for Fuel Cycle.
- Moving forward our system will be using ONLY this particular contact list
- This contact list will be used to generate/update all member profile data
NOTE: Fuel Cycle also recommends a quick call with your Fuel Cycle representative to go over the process and any questions. We can even use this time to perform the user configuration (via screen share) as Qualtrics offers different products and the settings and UI can be different for each.
Admin User Required Values for Platform
Once you have Qualtrics admin user credentials...
- If you are User Option 1 or 2 (please refer to the above section) please send Fuel Cycle the login credentials and FC will log in to the Qualtrics account and pull all required values to integrate your Qualtrics account with the FC platform.

If: You are User Option 3 (please refer to the above section) pull and send Fuel Cycle all required values to integrate with the platform (since Fuel Cycle cannot access your Qualtrics account due to SSO).
- Click on your profile in the top-right corner.
- Click Account Settings → Qualtrics IDs.
- Send Fuel Cycle the values listed below:
- Qualtrics Username
- Qualtrics Password
- Qualtrics Base URL (can be found in URL bar. Ex: https://fuelcyclerc.az1.qualtrics.com)
- Qualtrics User ID (UR_xxxxxxxxxx)
- Qualtrics API Token (If this doesn’t exist yet click on the Generate button)
- Qualtrics Library ID (UR_xxxxxxxxxx)
- Qualtrics Directory ID (POOL_xxxxxxxxxx)
After you send the values, Fuel Cycle representatives will program them into the platform and confirm with you when this process has been completed. Once completed, select the Launch Qualtrics button on the Fuel Cycle Dashboard. You'll be automatically logged in to your community's Qualtrics account, and you're on your way!
